The San Angelo Health Foundation is seeking a dependable and mission-driven Executive Assistant to the President to provide high-level administrative, program, and operational support.   What You’ll Do

As the Executive Assistant to the President, you will play a central role in keeping the Foundation’s operations organized, responsive, and mission-focused. Your responsibilities will span administration, grant coordination, board support, and communications. Specifically, you will:

Executive & Administrative Support

  • Manage the President’s calendar and meeting schedule, prioritizing competing demands.
  • Draft, edit, and proofread correspondence, reports, and presentation materials.
  • Serve as the first point of contact for visitors, phone calls, and external inquiries.
  • Manage incoming and outgoing mail; make occasional deliveries or pickups as needed.
  • Maintain inventory of office, kitchen, and meeting supplies; restock beverages and refreshments for staff and meetings.
  • Ensure a professional, organized, and welcoming office environment.
  • Coordinate with vendors for office and facility needs (e.g., maintenance, IT support).

Grants Management

  • Manage and maintain the Foundation’s online grants portal and supporting documentation.
  • Track proposals, reports, disbursement schedules, and contract deadlines.
  • Draft grant transmittal letters, profiles, and summary documents.
  • Maintain accurate, up-to-date records of current and historical grant files.
  • Serve as the liaison for grantees regarding disbursements, acknowledgments, and reporting.

Board & Committee Support

  • Schedule Board of Trustees and Grants Committee meetings in coordination with the President.
  • Prepare meeting agendas, packets, and other board materials.
  • Record and produce accurate meeting minutes.
  • Maintain official board records and governance documentation.

Facilities Oversight

  • Manage usage of the Foundation’s meeting rooms, including reservations and scheduling.
  • Maintain key cards, access logs, deposits, and usage fee tracking.
  • Coordinate vendor services for cleaning, repairs, or other facility needs.

Communications & Outreach

  • Draft internal newsletters, press releases, and basic promotional content.
  • Assist in updating and maintaining the Foundation’s website and printed materials.

  What You Bring (Minimum Qualifications)

  • Bachelor’s degree in Business, Public Administration, Communications, or a related field (or equivalent experience).
  • 3–5 years of professional experience in nonprofit, administrative, or business environments.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office 365 (Word, Excel, Outlook, PowerPoint, Teams).
  • Strong organizational and time management skills; ability to handle multiple priorities with accuracy.
  • Demonstrated ability to work independently, take initiative, and maintain confidentiality.
  • Competence with general office technology and basic troubleshooting.
  • Valid driver's license and reliable transportation.
  • Ability to pass a background check.
  • Comfortable in an office-based role with occasional travel (less than 5%).

  Preferred Qualifications (Nice to Have)

  • Experience supporting nonprofit executives or board leadership.
  • Familiarity with online grant management platforms.
  • Prior work in a philanthropic, foundation, or grantmaking setting.
  • Experience preparing board minutes and managing governance records.
  • Mission-aligned mindset and long-term commitment to community-focused work.
